Policies and Procedures for Using the DBTAC Online Conferencing System Frequently Asked Questions (FAQ)
How do I modify my reservation? Do I need to designate a staff person? What about technical assistance for DBTACs?
Any organization affiliated/referred by a DBTAC may reserve a room in the DBTAC Conferencing and Information Resource Center to conduct disability-related workshops. If a schedule conflict occurs, DBTACs and their affiliates will have priority over non-DBTAC-affiliated organizations.
The cost using the system as cited above, requires a a minimum reservation of one (1) hour. Reservations must be made in one-hour increments. For example: If your session is 1½ hours, you will need to reserve the room for two hours at a cost of $150 for DBTACs and $250 for Non-DBTACs. It is always helpful to encourage participants to join the room early in order to conduct a sound check and respond to last minute issues and concerns. Cancellations must be made at least 24 hours prior to the event in order to avoid a “No Show” fee of $100.
Please reserve only the room size needed. This will enable others to also schedule rooms that meet their needs. You can always modify your room size if the number of your participants changes.
How do I modify my reservation? Go back into the system and select your name from the Resource Schedule. A window will appear that summarizes your reservation information. Select “modify.” Another window will appear that lets you “modify,” “delete” or “cancel.” Remember, you will need your password to make these changes.
Do I need to designate a staff person? Yes. Please designate one staff person to be responsible for becoming proficient in the use of the online meeting system and email his/her contact information to Shelley Kaplan at sakaplan@law.syr.edu. We will also notify that designated person when changes are made to upgrade the features of the system.
What about technical assistance for DBTACs? You may schedule one test run of the system with Robin Jones or Shelley Kaplan. We encourage you to designate one staff person to be responsible for becoming proficient in the use of the online meeting system. You may contact us if you run into any difficulties, but please be aware that we can only offer you a minimal amount of technical assistance. If significant ongoing difficulties arise, we may have to charge a fee to cover the staff time needed to help you out.
